We are currently recruiting for a part time administrator to join a large non for profit organisation.
The main purpose of the role is to manage the day to day administration of the service. Providing administrative, secretarial and clerical support.
· To support the Service Manager with the recruitment process and induction of staff within the service.
· To word process confidential and sensitive data, including, reports, correspondence, memos, contracts, forms and tenders from both copy and audio tape.
· To deal with incoming enquiries and correspondence promptly and accurately, and to distribute information as required.
· To provide assistance to service users, referring to colleagues as appropriate, and maintaining records.
· To support service users eligible for external financial support, with the completion of relevant claim forms, and to ensure that, where applicable, fees are collected and received from outside agencies.
· To sort, dispatch, distribute and co-ordinate incoming mail and information in the service.
· Responsible for all general office filing systems, including manual and electronic. To maintain appropriate records, and compile and produce monthly and quarterly returns.
· Responsible for ensuring an effective and professional reception service, including handling incoming calls and faxes, taking and distributing messages and information, transferring calls as appropriate.
· To act as secretary for meetings, including taking of, preparation and circulation of minutes, preparation and issue of agenda, and reports for committees as required.
· To assist in maintaining and managing office diary.
· To maintain accurate records of staff and service users, in manual and electronic format
· To support Regional office with the collection and collation of information in connection with ordering of goods and services, finance and salary information.
· To maintain and reconcile cash and petty cash expenditure and balances.
· To deal with service local banking arrangements.
· To ensure timely and accurate completion and dispatch of purchase orders and delivery notes to the NAC.
· To collate information and to update staff and service user databases
· To complete payroll records for processing by the payroll bureau to set timetables, and to co-ordinate information to and from the payroll bureau.
· To liaise with purchasers and suppliers as directed.
· To maintain security back ups of computer files and manual records.
· To comply with all Health and Safety policies and procedures.
· To participate in supervision, staff meetings and training activities as required.
· To be responsible for maintaining and improving own knowledge and skills through experience and training.
· To undertake additional responsibilities as requested by the Service Manager following the successful completion of specific training and personal skills development.
· To undertake any other reasonable duties as requested.
Skills Required:
· Previous administrative/ secretarial experience
· Managing office systems and procedures.
· Computer literacy, including, file management, word processing, spreadsheets, database, computerised accounting systems, electronic mail
· Minute taking (not shorthand)
· Cash handling
· Experience of working in the voluntary sector
